1. Purpose and Scope

Objective: Establish rules, responsibilities, and ethical principles for using the AI Memory Vault app. Ensure safe storage, retrieval, and use of personal memories, data, and AI-generated insights.

Scope: Applies to all users, administrators, contractors, and developers interacting with the app. Covers AI-generated summarizations, content tagging, memory analytics, and agentic AI features.

2. Definitions

• AI Memory Vault: A digital application that stores, indexes, and recalls personal memories using generative AI capabilities.

• Generative AI: Machine learning models able to produce text, images, or structured outputs based on user input.

• Sensitive Data: Personally identifiable information (PII), confidential communications, audio/video memory recordings, or health-related information.

• Agentic AI: AI tools capable of autonomously performing multi-step actions on behalf of users, such as scheduling tasks or sharing content.

3. Acceptable and Prohibited Uses

Acceptable Uses:

• Organizing and retrieving user memories.

• Generating summaries or timelines of personal events.

• Suggesting memory prompts or insights while preserving privacy.

• Assisting in accessibility tasks (captioning, memory indexing).

Prohibited Uses:

• Sharing memories without explicit consent.

• Using AI to impersonate others or generate misleading content.

• Uploading third-party copyrighted material without permission.

• Inputting sensitive or confidential information from others without consent.

4. Data Privacy and Security

• All sensitive data must be encrypted in transit and at rest.

• Memory data should be retained only as per user consent and legal requirements.

• No user data may be shared with third parties for AI training without explicit consent.

• Data should be anonymized when used for internal AI model optimization.

• Admins must regularly review access logs and audit AI system usage.

5. Ethical Principles

• Transparency: Users will be informed when AI is used to summarize or analyze memories.

• Consent: Explicit consent must be obtained before processing sensitive or personal data.

• Fairness: AI must avoid introducing bias in memory suggestions or categorization.

• Non-discrimination: Outputs must not misrepresent or marginalize particular groups or communities.

6. Human Oversight

8. Risk Management

• Conduct quarterly assessments for security, bias, and privacy compliance.

• Identify potential AI misbehavior scenarios, such as hallucinated memories or unauthorized sharing.

• Maintain an incident response team to address AI-related issues promptly.

9. Training and Awareness

• Provide training modules for staff and developers on ethical AI use, privacy protection, and bias mitigation.

• Include guidance for users on safe AI interaction, highlighting data input safety and limitations of AI-generated suggestions.

10. Legal Compliance

• Comply with local and global data protection laws.
